In this role you will help and support Digital Hub lead specifically in, Provide strategic, tactical and operational support to initiatives supporting growth and innovation in Hubs for Digital.
Able to manage complex and multiple projects with many stakeholders globally & locally.
Drive and support transversal projects with the Hub Leadership Team (LT) in Digital.
Main Responsibilities Operational
Excellence &
Program Management Drive and manage transversal initiatives in collaboration with the Leadership Team, ensuring effective planning, execution, and tracking of key Hub programs.
Support the development, structuring, and rollout of new initiatives within the Hub, with clear governance and progress monitoring.
Contribute to key strategic and operational topics by coordinating activities, tracking deliverables, and ensuring timely execution.
Lead and facilitate cross-functional meetings, ensuring clear documentation of outcomes, ownership of action items, and follow-through.
Manage and oversee reporting across headcount, finance, and IT, ensuring data accuracy and actionable insights for leadership.
Support the creation and management of business cases for internalisation, including structuring proposals, validating assumptions, and aligning with stakeholders.
Track and report savings and value realization from internlisation initiatives, ensuring alignment with financial and strategic targets.
Provide support in preparing high-quality presentations, dashboards, and reports for leadership reviews and decision-making forums.
Operations &Administrative Management Manage leadership calendars, ensuring effective scheduling, prioritization, and coordination of meetings, including visitor engagements and external interactions.
Act as a central coordination point for employee queries, directing them to appropriate channels (e.g., OneSupport) and ensuring resolution.
Plan and execute end-to-end events and leadership visits, including logistics, stakeholder coordination, and on-ground execution.
Coordinate international travel arrangements and related queries for employees in alignment with company policies.
Manage vendor and supplier interactions for office operations, including raising POs, tracking deliveries, and ensuring service quality.
Oversee procurement and management of office equipment and services, ensuring operational continuity.
Maintain and enhance administrative processes, including documentation, filing systems, and operational workflows.
Collaborate closely with administration and support teams to ensure seamless delivery of operational and organizational goals.
Organizational
Support &
Stakeholder Management Act as a key point of contact for internal and external stakeholders, ensuring queries and issues are resolved or escalated efficiently.
Deliver a high-quality, professional experience for all visitors and stakeholders engaging with the Hub.
Coordinate new joiner onboarding, including training plans, buddy programs, and integration into the Hub community.
Support HR-related administrative activities such as work time management (leave tracking, schedules) and act as a liaison with HR teams.
Manage email distribution lists and system access requests, ensuring timely provisioning and governance compliance.
